Balance My Books ("we", "us", "our") is committed to protecting the privacy of our clients in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA). This policy describes how we collect, use, and safeguard your personal information across our website and proposal systems.

2. Purposes of Collection

We collect personal information solely for the purpose of delivering bookkeeping, payroll, and financial management services. This includes your name, business name, contact details, and financial scope information necessary to prepare proposals, process intake forms, and perform contracted services.

3. Consent

By submitting our intake or contact forms, engaging our services, or accepting a proposal, you consent to the collection, use, and storage of your personal information for the purposes described above. You may withdraw consent at any time by contacting us, subject to legal and contractual obligations.

4. Limiting Collection

We collect only the information necessary to provide our services. We do not collect sensitive personal information such as Social Insurance Numbers, health information, or financial account credentials unless explicitly required and consented to.

5. Limiting Use, Disclosure, and Retention

Your information is used exclusively for service delivery and is never sold or shared with third parties except as required by law (e.g., CRA) or necessary third-party service providers (e.g., accounting software) under strict confidentiality agreements. Financial records are retained for a minimum of 6 years as required by the Income Tax Act. Personal contact information is deleted upon request after the retention period has elapsed.

We strive to keep your information accurate and up to date. Please notify us of any changes to your contact or business information so we can update our records promptly.

7. Safeguards

Your data is protected by industry-standard security measures including encrypted database storage, HTTPS transmission, authenticated access controls, and a complete audit log of all data access and modifications.

8. Openness

This privacy policy is available to all clients upon request, is accessible on our website, and is included in our proposals. We are transparent about our data practices and will answer any questions promptly.

9. Individual Access

You have the right to request access to the personal information we hold about you. We will provide a complete copy of your data within 30 days of a written request. To submit a request, please contact us directly.

10. Challenging Compliance

If you believe we have not complied with this policy or PIPEDA, you may submit a complaint to our Privacy Officer or to the Office of the Privacy Commissioner of Canada at www.priv.gc.ca or 1-800-282-1376.

Breach Notification Obligation

Under PIPEDA, if a breach of security safeguards creates a real risk of significant harm to an individual, Balance My Books must notify the Office of the Privacy Commissioner of Canada and affected individuals as soon as feasible. Breach records must be retained for a minimum of 24 months.
